Framework rules for the use of artificial intelligence at SU SBA in the preparation of theses, seminars and other works, in teaching and other activities

1) SU SBA allows the use of all tools and modern technologies in the teaching and work of academic staff and students, provided that this is done responsibly and in accordance with the principles of ethics.

2) In the context of this document and further use at the SU SBA, the term artificial intelligence (AI) refers to a generative model that enables the generation or modification of text, source code, graphs, diagrams, images, tables, videos, etc. according to the basic input context and query. Answers are dynamically generated based on the learned knowledge and query context. By AI tools, all available applications (e.g., ChatGPT, SciSpace, CanvaAI, Google Bard, MS Copilot, etc.) are meant on the SU SBA.

3) It is important to follow safety rules when working with AI. AI does not have the ability to maintain confidentiality or protect personal data, it is strictly recommended not to enter any personal data (birth dates, names, addresses, etc.), sensitive data from ongoing research or investigations, other data generated by contract research, etc. Caution must be taken when using AI in these applications.

4) When using AI tools, all data must be verified. It is the student's responsibility to verify the messages and information provided in the thesis and other papers.

5) AI can be used for grammar checking, text editing, but here it is necessary to approach the proposed changes critically. In part, AI tools can be used for text structure or literature search, but here it is important to follow the rule of verification of all data and information. AI can also be used as inspiration for finding other sources and authors on a given topic, where information must be used from the original work of the recommended authors.

6) It is definitely not advisable to use AI for citations, where AI generates irrelevant and non-existent sources and gives fake citations. AI can be used for brainstorming or consulting on a problem, which can help to look at the problem from a different perspective.

7) If a student uses AI in the preparation of a thesis or other work, this must be stated, including the specific source (i.e., the complete prompting1 ). In the text of the thesis, he/she should indicate in the footnote2, how specifically AI was used and, if applicable, the specific prompts or specific applications used). In addition, at the end of the chapter, the student may summarize in a footnote how he or she specifically used AI in that chapter. Uses for paraphrasing, use of grammar checking, etc. should also be noted.

8) The lecturer, thesis supervisor or the opponent may indicate in the assessment any suspicion of AI use in other non-recommended ways, for example, the use of AI by the student to process the practical part, generate calculations, etc. or in case of suspicion of processing any texts and not mentioning the fact in a footnote.

9) AI cannot be used for test development and during testing. When preparing seminar papers, case studies, reports, news, etc., it is necessary to follow the instructions of the teacher and to consult the use of AI with the relevant teacher.

10) Teachers can set rules in advance for the use of AI in their courses, including the rationale. Lecturers can adjust the possibilities of using AI during lectures and seminars, e.g. for discussions or solving a given problem. In the case of midterm tests, final tests, etc., the use of AI is generally prohibited, unless the teacher decides otherwise for specific courses.

E.g. ChatGPT 3.5 was used to create the chapter structure. Subsequently, Grammarly was used to proofread the text. MS Copilot was used to generate a diagram describing the life cycle of the business. If a specific part is processed using AI, we indicate the paragraph e.g.: OPENAI. "What is the life cycle of an enterprise and what stages does it include?". ChatGPT-3.5. [cited 20 February 2024].
